Space Utilization

The work of Space Utilization regulates the allocation and use of University spaces as they relate to operations. The responsibility of optimizing the use of campus spaces is shared amongst all University faculty and staff. This project involves maintaining physical space and occupant data, processing requests to changes in space allocations and use of space, providing input for strategic space utilization decisions, and refining space data systems to warrant increased efficiencies. Venue Reservations & Setups


In order to balance the needs of our clients and the workload of our facilities staff, there are several predefined options for each of our event venues.

Services & Request

If operational needs for EKU departments warrant changes to current space assignments, then requests to change assignments of space can be made. Examples of this request include:

  • moving offices or programs to new locations
  • changing the use of a space within your department or program, such as an office to a storage room or a conference room to a classroom
  • obtaining additional space for operations or new programs
  • vacating or transferring space to another department or program

All changes in use of space for University operations must be requested through the Office of Space Utilization. The University has the right to provide an alternate solution or deny any requests for space changes or changes to the facility.

Complete the space change request form and return to Facilities Management at fsccpa@eku.edu.

Please note: changes to locations for academic courses must be requested through the Office of the Registrar at schedule.reg@eku.edu. Changes to spaces for events must be coordinated through the Office of Conferencing and Events.

A Request for Change to Facilities is required when one or more of the following is needed for any item in any EKU facility:

  • Alteration of space and/or fixed in place products within
  • Addition
  • Program Change

General Examples that would require an RCF form to be completed:

  • Adding a lock to a door/changing a lock core for reasons other than emergencies
  • Carpet replacement or addition
  • Adding an electrical plug/switch
  • Moving permanent in place fixtures off of a wall or relocating
  • Adding plumbing fixtures

The following procedure must be followed when requesting a key:

  • Obtain Key Request card from Building Supervisor’s Office.
  • Person requesting key (Requestor), completes upper left portion of card and key information on lower left column, please DO NOT sign the bottom of the card. The requestor signs when the key is picked up at the Gentry building.
  • Chair/Dean of Dept. completes upper center portion of card.
  • Building Supervisor completes upper right portion of card and sends card to Facilities Services CPO 6A.

Upon approval of request:

  • The Lock Shop cuts the key, then returns key card and new key to Facilities Services office staff
  • The Requestor is notified the new key is ready to be picked up at the Gentry Building
  • The Requestor (the owner of the key), must be present to sign in the lower left portion of key request card upon receipt of the key and is given a copy for their records
  • The top portion of the key request card is sent back to the Building Supervisors office while Facilities Services Lock Shop retains the back copy
  • Keys will be available for 30 days after notification to pick up keys.

After 30 days a new request for keys must be made. Any key that has not been picked up 30 days from the date of notification from Facilities Management to pick-up key(s), the request will be deleted and a new request must be entered into the TMA system. Please notify all building supervisors of the new procedure for key request.

Please contact Aramark Custodial and Ground Services for all work requests in custodial and grounds services. The Aramark main office phone number is 859-622-5069. Facilities Management will be available to coordinate efforts and relay work requests to Aramark. For emergencies after normal working hours, you may call EKU Emergency Maintenance at: 859-622-2966.

Structural Services


The Department of Structural Services is comprised of four maintenance shops. Each shop is responsible for the day to day routine maintenance of all structural components of a building. These components include roofs, walls, wall finishes, floors, floor finishes, doors, door hardware, ceilings, windows, signage, exterior finishes, fencing, concrete, keys, and any other task that does not fall under the scope of work for Aramark Cleaning Services, Aramark Grounds Services, HVAC, Mechanical, Electrical, and the Ramsey Heat Plant.

Carpentry Shop

The carpenter shop is responsible for structural repairs on all buildings on campus other than residence halls. Within the carpenter shop is the craft foreman, carpenters, and the welding shop. Their duties include the following:

  • Perform routine work orders and keep paperwork up to date.
  • Replacing damaged or stained ceiling tiles.
  • Framing consisting of commercial (metal) and residential (wood).
  • Install and repair ceilings: commercial(grid and tile) and residential(wood, plaster, and drywall)
  • Finish carpentry consisting of cabinetry, countertops, drawers, trim, handrails, and steps.
  • Repair roof leaks.
  • Repair damaged fascia, cornice, and soffits from roof leaks.
  • Repair damage and/or unstop gutters and downspouts.
  • Remove existing asphalt shingle roofing materials and Install new asphalt shingle roofs.
  • Perform small RCF projects as size and scope allow.
  • Build shelving, cabinets, and other furniture items upon request.
  • Refinish furniture consisting of sanding, staining, and polyurethane.
  • Install/remove seasonal nets for athletic teams.
  • Install sign boards on stadium seating for football season.
  • Install green plastic fence at Alumni Coliseum for tailgating.
  • Install nets for field goal post.
  • Repair/replace damaged VCT flooring materials.
  • Install/remove sign boards at Keene Hall and Begley Building sign frames.
  • Repair damaged handrails.
  • Repair damaged concrete steps, sidewalks, flooring.
  • Install banners across campus.
  • Hang plaques, pictures, flags, quilts, and other items on walls.
  • Build picture frames for EKU campus beautiful prints for retirees.
  • Work at extended campuses as needed.
  • Welding: Stick and Mig.
  • Install bulletin boards, chalk boards, white boards, pictures, plaques, TV’s, and projectors.
  • Install and repair fencing.
  • Install, prep, and install/repair new/existing doors and frames: size, cut, mortise hinges.
  • Setups for graduations and special events such as Special Olympics.
  • Work with and oversee contractors on selected projects.
  • Maintain surplus stock, screws, fasteners, ceiling tile, floor tile, and stair treads.
  • Coordination of work with other trades as required for the completion of the assigned task.
  • Work overtime as needed for special events and after-hour emergencies.
  • Other duties as assigned by Associate Director and/or Director.

Lock Shop

The lock shop is responsible for installing new door hardware and repairing existing door hardware on all academic buildings, residence halls, and faculty/staff rental properties. Within the lock shop is the craft foreman and locksmiths. Their duties include the following:

  • Perform routine work orders and keep paperwork up to date.
  • Cutting keys for campus buildings.
  • Cutting keys for file cabinets.
  • Cutting duplicate keys for university vehicles.
  • Install & repair mortise and cylindrical mechanical locks.
  • Maintain programing for AD200 electronic locks.
  • Maintain programing for C-Cure 9000 NSB outside doors.
  • Maintain Best Keystone program for pinning cores.
  • Maintaining programing for Morse Watchman Key Watcher system for tracking Facility Service employee key rings.
  • Maintain records for all keys on employee key rings.
  • Maintain records for all keys on campus.
  • Repair automatic door openers.
  • Replace defective door hinges and stops.
  • Install and repair panic bars.
  • Install and repair door closers.
  • Maintain inventory for all door hardware and associated parts.
  • Obtain quotes from vendors for RCF projects.
  • Perform approved RCF projects.
  • Perform approved deferred maintenance projects.
  • Work after-hour emergency call-ins.
  • Perform emergency core/lock changes for faculty/staff dismissal.
  • Perform core/lock changes from lost keys.
  • Maintain university pad locks.
  • Re-coring Faculty/Staff rental properties.
  • Other duties as assigned by Associate Director and/or Director.

Residence and Hall Repair

The housing maintenance shop (HMC) is responsible for repairs and general maintenance on all EKU Housing Residential Halls on campus. Within the HMC shop is the craft foreman, repair technicians, plumbers, and electricians. Their duties include:

  • Perform routine work orders and keep paperwork up to date.
  • Replacing damaged or stained ceiling tiles.
  • Carpentry work within residence halls.
  • Plumbing work within residence halls.
  • Electrical work within residence halls.
  • Repair and replace restroom fixtures.
  • Repair appliances.
  • Repair room furnishings.
  • Repair roof leaks.
  • Repair damage gutters and downspouts.
  • Unstop gutters and downspouts.
  • Repair/replace damaged VCT flooring materials.
  • Repair damaged handrails.
  • Repair damaged concrete steps, sidewalks, flooring.
  • Remove/install flooring materials in elevators.
  • Hang plaques, pictures, flags, quilts, and other items on walls.
  • Install bulletin boards, chalk boards, white boards, pictures, plaques, TV’s, and projectors.
  • Install, prep, and install/repair new/existing doors and frames: size, cut, mortise hinges, locks, and install door closures.
  • Oversee projects done by contractors.
  • Maintain surplus stock, screws, fasteners, ceiling tile, floor tile, and stair treads.
  • Coordination of work with other trades as required for the completion of the assigned task.
  • Perform PM duties.
  • Work overtime as needed for special events and after-hour emergencies.
  • Other duties as assigned by Associate Director and/or Director.

Paint & Glass Shop Contact

The paint and glass shop is responsible for repairs on all academic buildings, residence halls, and faculty/staff rental properties. Within the paint shop is the craft foreman, painters, interior finishers, carpet/floor crew, and glass shop. Their duties include:

  • Perform routine work orders and keep paperwork up to date
  • Painting of all academic buildings and rental properties
  • Painting of all ornamental iron fencing on campus
  • Removal of graffiti from university properties
  • Refinish exterior basketball and tennis courts
  • Prepare exterior pools for summer use via painting and caulking
  • Repair and re-finish of damaged drywall and plaster
  • Repair of ceramic walls and floors
  • Re-grout ceramic floors
  • Repair & refinishing of wood floors
  • Re-finish bronze plaques
  • Installation of new carpet
  • Replacement of existing carpet
  • Repair of damaged VCT flooring
  • Installation of VCT/vinyl flooring
  • Replacement of broken glass in windows and doors
  • Installation of window tinting
  • Installation and removal of temporary signs around campus for special events including graduation ceremonies
