Advising Tools & Resources


Advising 360

Advising 360 provides many of the resources and tools an Academic Advisor needs. Here you will be able to access your advisees, EKU DegreeWorks, Progress Reports, grades, and other important advising information. It is the advising hub which will also take you to the Loop and the Advisor Roster & RAC.

To access Advising 360, go to the EKU homepage and then Login/ Advising Login. Advising 360 is built in Slate. If you do not have access, request access here.

Advisor Roster and RAC

The Advisor Roster and RAC tool provides a comprehensive set of information about your assigned advisees.

Advisor Roster and RAC:

  • View a list of your advisees
  • EKU ID, Name, Picture, Email
  • Advisor Type – Major, Minor, Supplemental, etc.
  • Major – Includes 1st, 2nd, and 3rd Majors
  • Last Term Enrolled – useful for sorting by students who are active and those who have stopped out
  • Future Registrations
  • RAC Number
  • Registration Holds

EKU DegreeWorks

To request access to Degree Works contact the Registrar’s Office at registrar@eku.edu

Degree Works is a Degree Audit software available for both Advisors and Students within EKU Direct. Advisors may access a student’s Degree Works audit in order to track their progress towards graduation, help pick out courses, create a graduation plan and see what credits they have recorded (transfer and EKU).

Slate Video Tutorials

Slate is being utilized by advisors/advising offices on campus to manage appointment scheduling and communication. For access and training, contact slate@eku.edu.

The following videos provide step-by-step processing for the basic functionality that you will be utilizing to manage appointments in Slate Scheduler. Slate Scheduler is for those who need to make multiple appointments for the same timeslot. Active Scheduler is the preferred appointment scheduling tool.

Tips to Ensure Your Advisee is Ready for Graduation


When we process students for graduation, we unfortunately find issues that prevent students from
reaching that goal. To prevent this from occurring we offer you the following lessons. Extra information
can be found in the General Academic Information section of the Online Undergraduate Catalog.

  • Correct Information– Verify that the student’s academic information (Major, Minor, etc) are
    correct on their audit. Students with multiple majors can have a drop down tab to select their
    audit, so make sure we are on the correct major.
  • Catalog Year– Students are placed into a specific Academic Catalog (i.e. 2023-2024) when they
    declare a program. A student and advisor can decide that moving to the newest catalog would
    be beneficial and can submit a Change of Major through the Registrar’s Office webpage with
    that request in the comment section. Always check to see if the courses the student has taken
    match the requirements of the catalog year.
  • Petitions– Any substitution or waiver for a class must be submitted via petition for it to appear
    on their Degreeworks. A Degreeworks Audit must be able to show 100% completion and all the
    requirements met before a Degree can be awarded.
  • Major specific GPA and/or course requirements – Majors can have specific requirements
    related to gpa and courses. Ex: History has the Must take 2 courses among HIS 302A, HIS 302B,
    and HIS 302C requirement.

  • 120 Total hours-The number one issue for students entering graduation season is the 120 total
    minimum hours requirement found at the top right of their Degreeworks. Hours applied
    includes ALL IN-PROGRESS hours that a student is currently taking.
  • 42 Upper Division hours-The second most common issue is the Upper Division requirement. All
    EKU BA/BS students are required to earn at least 42 Upper Division hours. The number reflected
    on Degreeworks includes ALL IN-PROGRESS hours.
  • PCC Requirement – The Pre-College Curriculumn requirement is commonly overlooked. This is
    met by a student taking two courses of the same foreign language in high school. If a student
    believes they have already met this requirement the Registrar’s Office and Transfer Office need
    to review their high school transcripts. If the review concludes they have not yet met the
    requirement they must take two courses of the same foreign language.
  • Gen Ed Certification-Double check this one. A student might say they are GE certified but their
    Degreeworks will show incomplete elements. In that instance send an email to
    reg.dgw@eku.edu asking for them to review the Gen Ed Certification for that student.
    Gen Ed class sharing – A course cannot count for a Gen Ed and a Major Core requirement. They
    do not share.
  • Grades that prevent graduation– Grades of “I”, “IP”, “NR”, or “RG” have to be resolved either by
    a change of grade form for courses taken at EKU or an updated transcript for transfer courses
    before a degree can be awarded.
  • GPA – Always be mindful of the student’s Overall and EKU GPA. Students must have at least a 2.0
    GPA in order to Graduate.

Advisor FAQ

Advisors are expected to meet with students prior to registration so that students are able to sign up for classes in a timely manner.

Advisors can access a list of their assigned advisees by logging in to MyEKU. Select Faculty and Advisor, select Advisor menu and then Advisor Roster Page. From this page you can now see your list of advisees, student ID picture, and retention information (term registered).

An additional important feature of this list is the ability to email the student directly or email the student’s supplemental Advisors and Instructors. This is very critical for intervention or advising about academic progress.

Advisors can access a list of their assigned advisees by logging in to MyEKU. Access Faculty Services, select Advisor menu and select Advisor Roster and RAC. Once you have advised the student, check the box and the system will display the RAC number.

REMINDER: Faculty Advisors may not have access to a student RAC if the student is not specifically assigned to you. You may gain access to the RAC number by contacting your Department Chair.

If one of your advisees has indicated to you that they would like to change their major, it can be difficult for students to know who to contact in order to complete the process. Students wishing to change their major must complete a Major Change Form.

In order to complete the form, the student must meet with either the Program Coordinator, Department Chair or an Academic Advisor. Please refer to the College contact using the Change of Major Directory

Once the student has completed the form and it has been processed, the advisor change will be processed. In times that students are changing their major close to registration opening, the person they are meeting with to change their major can provide a RAC number. Each Department Chair has access to RAC numbers or contact University Advising at (859) 622-2276 for assistance.

Advisors may access information on a student’s academic progress from viewing the 4th week progress reports and midterm grades. Advisors may also contact all instructors for a student by email by utilizing a new feature in EKU Direct-Class Roster. Click on the mail icon and the option to email the student or all of the students instructors becomes available.

To access 4th week progress reports. Login to EKU Direct. Access Faculty Services, Select Advisor Menu, Select Advisee Progress Reports. You have the option of pulling only progress reports for your advisees or students in your courses.

To access midterm grades, Login to EKU Direct. Access Faculty Services, Select on Advisor Menu, Select Advisee Courseload and Grades.

Advisors can access a list of their assigned advisees by logging in to MyEKU. Select Faculty and Advisor, select Advisor menu and then EKU DegreeWorks. Utilize the drop down box to pull the audit by student name/ID number.

DegreeWorks Tutorials

It is recommended that a student register for 15 credit hours in the Fall and Spring semesters in order to stay on track for graduation. A student must be enrolled in at least 12 credit hours to be considered a full time student. Students my request permission to take more than 15 credit hours (21 hours is the maximum request) by exception. Contact the office of your Departmental Chair or College Dean for override processes.

Exceptions are currently initiated by the advisor and entered through DegreeWorks.

For capacity overrides, prerequisite overrides, overload (more than 18 credit hours) requests, and second or subsequent repeat overrides, visit the webpage of the department that offers the course directly. Most academic departments have an Override Request Form on their website. If not, contact the Chair of the department. You can find each Chair’s name and contact information in the staff directory on that department’s website.

In order to change a major or minor, students can meet with an advisor representing the new program of study. Students are only permitted to change their major one time per academic year. The electronic form is accessible from this link.

Notes, classes discussed, and RAC numbers can be stored in DegreeWorks in the “Planner” section.

If you have concerns about a student regarding academic success, attendance, financial aid, and other academic matters, complete a Student Support Referral Form. This information will go to the Senior Director of Student Success and the Director of the Student Success Center for follow up.

In cases where the student is a danger to her/himself or others, please contact the EKU Police Department immediately (phone: 859-622-1111). Please note that the SAIT form should be used to report students who appear to be troubled or troubling to elicit a response from University officials before the student’s behavior reaches a crisis level.

Students are required to complete a Success Agreement with their Advisor under two conditions:

1. Readmitted with less than a 2.0 GPA OR

2. On probation after their FIRST semester at EKU.
